What running payroll involves

Payroll is the one piece of accounting your employees check themselves, every month. A ledger mistake waits until year end, and a payslip mistake reaches you by lunchtime.

Monthly payroll run

Salaries, allowances, deductions and variable pay are calculated and put to you for approval before any money moves. Approving figures beforehand, rather than correcting them afterwards, is what keeps a payroll month quiet.

CPF contributions handled

CPF applies to Singapore Citizens and Permanent Residents, with employer and employee portions worked out for each person and submitted monthly. Staff who are neither sit outside CPF, and confusing the two groups is a common and visible error.

Payslips issued every month

Every employee gets an itemised payslip showing gross pay, deductions and the amount that reached their bank. Staff compare payslips with each other, so a format nobody has reviewed invites a morning of questions.

IR8A filed by 1 March

Employee income returns are due 1 March, prepared from payroll records kept through the year rather than rebuilt in February. An employee's income reported wrongly lands on their personal tax return, not on yours.

Joiners and leavers

New staff are set up with the correct CPF treatment from their first month, and final pay for leavers is worked out with unused leave and notice included. Departures are where payroll errors turn into arguments.

Payroll posted to the accounts

The payroll journal goes into Xero each month, so wages, CPF and accruals appear in your management accounts instead of showing up as one lump in the bank feed. Staff cost becomes a number you watch.

How it works

The monthly payroll cycle

Setup happens once, covering employee data and the pay calendar. Each month after that follows the same few steps, on dates that do not move.

  1. Employee data collected

Names, residency status, salaries, start dates and bank details go in once, along with your pay date and any allowances. Residency status is the field to get right at this point, because CPF treatment turns on it.

    First week
  2. Payroll calendar agreed

The pay date, the cut-off for changes and the person who approves the run are fixed in writing. A cut-off everybody knows about is what stops the last minute bonus arriving after the calculation is finished.

    Before the first run
  3. Monthly run and approval

Payroll is calculated, sent to you with a summary of what changed since last month, and paid once you approve it. CPF submissions and the payroll journal follow from the same set of figures, so nothing gets keyed twice.

    Every month, before pay date
  4. Year end and IR8A

Employee income returns are prepared from the year's payroll records and filed by 1 March. Staff get what they need for their own tax returns without chasing you for a figure nobody has ready.

Inside Complete, up to five staff

Payroll for up to five staff is one part of the Complete package. The same fee covers monthly bookkeeping on Xero, GST registration and quarterly F5 filing, and the Comply compliance work.

Above five staff, payroll is quoted separately, and the number depends on headcount and how much of your pay varies. Commission schemes and hourly staff take more work each month than five salaried people on fixed pay.

Common questions

What employers ask about payroll

Do I pay CPF for foreign employees?

No. CPF contributions apply to Singapore Citizens and Permanent Residents. Employees on work passes sit outside CPF and their pay is calculated differently. Residency status is recorded for each employee at setup, and a change of status during the year has to be picked up in the month it takes effect.

What is IR8A and who has to file it?

IR8A reports what your company paid each employee over the year, and the employer files it by 1 March. Employees rely on those figures for their own tax returns. Reporting them wrongly pushes your problem onto your staff, which is a poor use of the goodwill you earned by paying them properly.

Do you issue payslips to my staff?

Yes, itemised, every month, showing gross pay, deductions and the amount paid. Employees compare payslips with each other, and the first sign of a payroll problem is usually somebody asking why a deduction changed. A clear payslip settles most of those questions before they reach you.

What happens when a payroll run is wrong?

It gets noticed the same day, because staff check their own pay. Corrections are made inside the same month where possible, with CPF adjusted in the same submission. Leaving a fix until the following month doubles the number of people watching it and turns one query into several.

Do you run payroll for more than five staff?

Yes, quoted separately. The Complete package covers up to five. Beyond that, the fee depends on headcount and how variable the pay is, since commission, overtime and hourly staff take more work each month than a fixed salary run for the same number of people.

Move payroll without a gap

Tell us your pay date and how many people you employ. Switching mid-year works as long as the year to date figures come across cleanly, and that is the part to check first.
