What is included

What the monthly close covers

Bookkeeping is the record every other filing is built on. ECI, Form C-S and the GST return all read from the same ledger, so errors travel.

Transactions coded each month

Bank feeds pull into Xero, and every line gets coded to an account rather than dropped into a suspense bucket. Coding decided once and applied consistently is what makes the year end numbers defensible.

Bank and card reconciliation

Each account is reconciled to the statement before the month is called done. Unreconciled balances hide double payments and missing income, and both surface at year end, when the cost of fixing them is highest.

Management accounts within 10 days

Within 10 working days of month end you get a profit and loss, a balance sheet and a cash position. Figures that arrive in March about January are history, not information you run a business on.

Source documents attached

Invoices, receipts and bills are attached to the transactions they belong to inside Xero. IRAS asks for support, not for a spreadsheet of totals, and a claim with no document behind it is a claim you lose.

Personal spending untangled

Paying a supplier from a personal card because it was faster feels harmless. Repeat it through the year and the director's account becomes a puzzle, and untangling it at year end costs more than those payments were worth.

Records ready for GST

For a GST-registered company, the ledger is where the F5 return comes from. Output tax at 9% and input tax claims are coded as the work goes along, so the quarterly return is a review rather than a rebuild.

How it works

From bank feed to accounts

Setting up takes a few days at the start. After that the cycle repeats every month, and most of it happens without you doing anything.

  1. Xero setup and bank feeds

Your Xero file is set up, or the existing one is reviewed, and bank feeds are connected so transactions arrive on their own. A chart of accounts that matches how you sell is worth an hour of argument now.

    First week
  2. Historic records brought current

If the books are behind, the backlog is quoted separately and cleared before the monthly cycle starts. Starting a clean month on top of a messy year hides the problem instead of fixing it, and year end finds it anyway.

    Depends on the backlog
  3. Monthly coding and reconciliation

Transactions are coded, accounts reconciled and queries sent to you in one list rather than a drip of emails through the month. Answering that list is the only part of the process that needs your time.

    Every month
  4. Management accounts and review

Within 10 working days of month end, the profit and loss, balance sheet and cash position reach you. Once a quarter there is a call to go through what the numbers show and what to do about it.

Inside Complete, not sold alone

It comes as part of the Complete package. Bookkeeping on Xero sits inside it, together with the Comply work, GST registration and quarterly F5 filing, payroll for up to five staff, and the quarterly review call.

Bookkeeping is not sold on its own, and we would rather say so here than at the invoice. Transaction volume and the state of your existing records decide whether the standard fee holds, and a backlog is quoted before we start.

Common questions

What founders ask about the books

Do I need a bookkeeper if I already use Xero?

Xero records what you tell it and nothing more. The software pulls in bank lines, and somebody still has to decide what each one is, reconcile the accounts and attach the documents. Companies that skip that part arrive at year end with a file full of uncoded transactions and a bill to sort it out.

How far behind on bookkeeping is too far behind?

No filing is due for a month of bookkeeping, so nothing goes late on its own. The deadlines that bite are ECI within three months of your financial year end, Form C-S or Form C by 30 November, and the quarterly GST return if you are registered. Each one reads from the ledger, so a year of missing records turns into a filing problem.

Will you take over books another firm started?

Yes, after reviewing the existing Xero file. Taking on someone else's coding without looking at it is how errors get inherited and then repeated. Where the file is in poor shape, the cleanup is quoted separately from the monthly fee. You keep ownership of the Xero subscription either way.

What happens if I pay for company things personally?

It gets recorded as a director's loan or a reimbursement, and both need evidence. A payment with no invoice behind it is not deductible against the 17% corporate tax rate, and if the company is GST-registered the input tax claim goes with it. Use the company card and the problem disappears.

Does this cover my personal tax as well?

No. This is company bookkeeping and the filings that come out of it. Personal income tax for directors is separate work, so ask us directly rather than assuming the monthly fee covers it. Being told late that something was never included helps nobody.
