If your business is GST-registered in Singapore, InvoiceNow isn’t just a tech upgrade—it’s a looming compliance deadline.
If your business is GST-registered in Singapore, InvoiceNow isn’t just a tech upgrade—it’s a looming compliance deadline.

Processing invoices by manually takes time, increases the possibility of human error, and adds needless administrative burden. To counter this, the Inland Revenue Authority of Singapore (IRAS) and the Infocomm Media Development Authority (IMDA) are leading a national move away from traditional PDFs and emails toward seamless, automated data sharing.

This is the foundation that you need to help you need to help you have a business.

What is InvoiceNow and How Does It Work?

InvoiceNow is Singapore’s nationwide e-invoicing network. It allows the direct transmission of invoices in a structured digital format across entirely different finance and accounting systems.

Unlike a PDF or a scanned image—which still requires someone to manually read and type data into an accounting tool—an e-invoice moves from the sender’s system to the receiver’s system automatically.

  • The Peppol Network: Singapore uses the international Peppol (Pan-European Public Procurement On-Line) standard. This ensures your business can trade seamlessly both locally and with international partners.

  • Peppol ID: This acts as your business's unique digital address (linked directly to your UEN), allowing other systems to find and send you invoices instantly.

  • PINT-SG: This is the specific local technical standard required to ensure all transmitted invoice data complies perfectly with Singapore tax regulations.

The Compliance Timeline: When Do You Need to Act?

IRAS is rolling out the InvoiceNow mandate in a phased approach to give businesses ample time to adapt.

  • Phase 1 (1 November 2025): Mandatory for businesses that voluntarily registered for GST on or after this date.

  • Phase 2 (1 April 2026): Mandatory for all new voluntary GST registrants from day one of their registration.

  • Phase 3 (1 April 2028): Mandated for compulsory GST registrants (businesses exceeding the S$1 million turnover threshold) and existing voluntary registrants with annual supplies of S$200,000 or less.

  • Phase 4 (By 1 April 2031): Full nationwide implementation. Every single GST-registered entity in Singapore must operate via the InvoiceNow network.

Pro Tip: Don’t wait for your final legal deadline. Adopting early allows you to smooth out your workflows and potentially leverage government grants, like the Productivity Solutions Grant (PSG), to subsidize software updates.

Common E-Invoicing Mistakes to Avoid

As local businesses transition, many fall into the same compliance traps. Keep these in mind to safeguard your operations:

  1. Treating PDFs as E-Invoices: A PDF is simply a digital picture of a document. Because its data isn't structured for direct machine-reading, it does not satisfy the InvoiceNow legal mandate.

  2. Missing the PINT-SG Standard: Older e-invoicing frameworks may not support the updated PINT-SG data standard required by IRAS for modern tax reporting. Ensure your systems are fully updated.

  3. Ignoring B2C Impacts: While the mandate strictly targets B2B transaction data transmission, your overarching accounting systems must still seamlessly reconcile B2C sales for comprehensive GST filing.
